The vendor application process is a gateway to joining an extraordinary event that celebrates creativity and innovation. Vendor Application Requirements

  • Provide proof of liability insurance upon acceptance
  • Submit photos of products
  • Complete the application form in full
  • Include a detailed description of products or services
  • Participate in promotional activities
  • Having weights for any tents
  • Comply with all local health and safety regulations
  • Commit to attending the entire event duration
  • Ensure all products fit within the theme
  • Provide own setup equipment and materials
  • Provide photos of a past booth setup or a “mock up” set up if this is your first time being a vendor.
  • Adhere to the event’s dress code
  • Submit a non-refundable payment once accepted
  • Maintain a professional booth appearance
  • Ensure timely setup and takedown of booth
  • Offer unique and high-quality products

Vendor Application FAQs

What types of vendors are being accepted?

Only Steampunk & Oddity related vendors are being accepted.

We will not be accepting any vendors that do not fit within the theme.

Must I wear a costume?

Yes, this is non-negotiable. All vendors must fit the theme of Steampunk & Oddities in their vendor space, including attire.

What are the booth fees for 2025?

This will depend on which market location you are placed in. You must be prepared to pay the main street price as that is where the majority of the booth spaces will be.

  • Coldwater Museum Market $60
  • Old Mill Market $70
  • Main Street Market $80
How are vendors placed into each market?

Vendors are placed into markets using the following criteria:

  • How many vendors of similar type are in each market location
  • Your application responses

While your first market choice is not guaranteed, we will try our best to place you in the market that best represents your responses on your application while considering how may other vendors of simlar type are also placed in each market location. Placements will be decided on a first-come first-served basis. Once one of the markets becomes full for your service type, your second choice will be used.

How are payments being accepted?

Payments are only being accepted by E-Transfer at this time. The address in which to send it will be included in the acceptance letter.

How will I know if my application is accepted?

Vendors will be notified of acceptance via email with a @coldwatersteampunk.ca ending within 14 days of submitting your application. We are aware of scammers so please be diligent in making sure all communication is coming from official sources.

I've been notified that I got accepted. Now what?

You must pay your vendor fees within 7 days or your space reservation will be cancelled and offered to another vendor. If you are late paying your vendor fees, you may not receive a refund OR a space.

Payment information is only provided to accepted vendors, in the acceptance email.

 

What is included in my booth space?

A marked 10 x 10 space in one of the market locations. Vendors must provide their own tent & weights, tables or chairs if they require them.

How do I get insurance?

It is mandatory that each vendor has adequate liability insurance. We recommend Stark Insurance (Coldwater Ontario). They are offering insurance for Coldwater Steampunk & Oddity Days vendors for only $20. You will be asked upon approval to submit proof of insurance. If you do not provide proof of insurance you may not attend, or receive any refunds.

Can I share a booth with another vendor?

Booth sharing is allowed, but both vendors must submit separate applications, and have their own insurance.

What are the setup and takedown times?

Setup to be ready for 9 AM on the event day, and breakdown must be completed between 5-6 PM. No early takedowns will be allowed. We will update when we have more information.

What is the application deadline?

The applications for vendors will close if we reach our capacity. Unfortunately we don’t know when that could happen.

Why was I not accepted?

There are generally two reasons that we don’t accept vendors.

1. There are already enough vendors that sell the same things as you do.

2. Your business does not fit within the theme. If you feel you can show us more themed products in your application, and it has been more than 14 days since your last application, you are welcome to re-apply.
